What documentation should I keep after fire door work?

As a general principle, keep whatever helps you show later what was done, where and to which doors: the scope of work agreed, the location references used, any product or manufacturer information supplied with the doorsets or components, and photographs taken at the time. What is available varies with the type of work and the products used.

Do you provide a certificate for every door?

No. We do not issue per-door certification and we would be cautious of anyone who describes routine records as certification. What we can provide is a record of the work we carried out, the door references it applied to, and any product or manufacturer information supplied to us for the doorsets and components used.

What is door identification and why does it matter?

Door identification simply means being able to tie a record to a specific door — usually a plot, flat, room or door reference agreed with you and used consistently in schedules, quotations and photographs. Without it, later inspections cannot easily tell which doors a record relates to.

Can you work to a document format our managing agent already uses?

Usually, yes. If you have an existing schedule, asset register or door reference system, we would rather use yours than impose another. Tell us at quotation stage what format your records need to be in.

What if the existing doors have no documentation at all?

That is common in older buildings. We record what is visible and known at the time of our work, and are clear about what could not be established. Where a formal fire door inspection report is required, this can be arranged through a specialist fire door inspection contractor.

Records You May Receive or Should Retain

The exact content varies with the work and the products involved. The items below are the ones that most often prove useful later.

Door identification

A consistent reference for each door — plot, flat, room or an existing asset reference — used across the quotation, the schedule of works and any photographs.

Scope of work carried out

A record of what was done to each door: components renewed, adjustments made, leaves or doorsets replaced, and anything left outstanding.

Product and manufacturer information

Where doorsets or components are supplied with product or manufacturer information, that information is passed on to you. Availability depends on the products used and what the supplier provides.

Photographs where taken

Before and after photographs are commonly taken during remedial and replacement work and can be supplied with the work record.

Outstanding recommendations

Where we recommended replacement, further investigation or work outside our scope, that recommendation is stated so it is not lost.

Source documents used

If we worked from an inspection report or fire risk assessment action list you supplied, the record notes which document and version informed the scope.
